Short Term Missions Administrator - Support Hub

Overview


The role is based out of Remote. The Short Term Missions Administrator works alongside the Short-Term Missions Coordinator to oversee and execute the administrative, logistical, and pre-field preparation processes for individuals and teams participating in short-term mission trips. This role ensures that all pre-field requirements are completed accurately and on time prior to field arrival, serving as a primary administrative point of contact throughout the inquiry-to-departure pipeline. This is a ministerial role that may be full-time or part-time and support-raising is required.


Key Responsibilities

  • Inquiry Management: Respond promptly, clearly, and appropriately to inquiries regarding short-term service opportunities with GFM.
  • Applicant Communication: Maintain consistent and timely communication with applicants throughout the entire inquiry, application, and pre-field preparation process.
  • Process Oversight: Develop and maintain a strong working knowledge of GFM’s short-term missions pre-field process and clearly communicate expectations, timelines, and requirements.
  • Logistics Administration: Administer and track all pre-field logistics, including trip dates, deposits, final payments, housing/hotel arrangements, and required documentation.
  • Training Coordination: Coordinate closely with the Short-Term Field Coordinator to distribute, track, and manage pre-field training materials and requirements.
  • Data Systems: Maintain accurate records and data within GFM’s internal systems related to short-term participants.
  • Departmental Support: Provide administrative support to the broader Mobilization Department as needed and stay informed of current organizational needs to support alignment.

  • Must display advanced interpersonal relational skills and be dedicated to peacemaking.
  • Must function well both independently and in a team environment.
  • Must be able use or learn internal communications and technology systems such as Email, Google Drive, Slack, and Salesforce.

Recommended Experience

  • A College Degree is preferred but not required[cite: 1].
  • Informal or formal training in administration, management, organization, leadership, and/or ministry is beneficial.
